Overview of the Deanship Administration

First: Administrative Affairs Department
The Administrative Affairs Department is responsible for managing administrative operations and overseeing the following divisions: Personnel Affairs, Administrative Communications, and Copying Services. The department includes the following sections

 


1. Personnel Affairs Section
Roles and Responsibilities:

  • Monitoring employee attendance and departure, recording data, and preparing the monthly summary.

  • Ensuring workflow efficiency across departments and divisions.

  • Receiving job applications and processing the departure of staff whose employment with the Deanship has ended.

  • Organizing and archiving employee data and records digitally.

  • Nominating staff for training courses inside or outside the university.

  • Assessing the Deanship’s staffing needs, including job types, specialties, qualifications, and required numbers.

  • Preparing employee certifications, assignment and transfer decisions, and disciplinary actions, and submitting them to the relevant authority for approval.


2. Administrative Communications Section
Roles and Responsibilities:

  • Receiving incoming correspondence, logging, presenting, and distributing it to the relevant departments.

  • Collecting outgoing correspondence and completing official dispatch procedures.

  • Distributing internal mail among the Deanship’s units.

  • Organizing and archiving incoming and outgoing records.


3. Copying and Reproduction Section
Roles and Responsibilities:

  • Copying all official letters issued by the Deanship.

  • Reproducing minutes of meetings, announcements, supervisor schedules, housing forms, and other necessary documents.

  • Photocopying official documents and papers related to the Deanship.


4. Financial Affairs Section
This section handles disbursement procedures for staff entitlements and payments to external entities (e.g., companies and suppliers providing materials or services to the Deanship).
It consists of multiple subsections, including:

  • Accounting

  • Transportation Accounting

  • Inventory Accounting

  • Sports Facilities Accounting

  • Treasury Office

  • Warehouse Management

  • Financial auditing and review of all Deanship-related transactions.
